Onvia 7.7 Release Notes

Onvia 7.7 Release

The following set of release notes detail recent changes to the Onvia platform with the release of Onvia 7.7. We encourage you to familiarize yourself with these changes and how they may impact your day to day interaction with the Onvia platform. For questions please contact your account manager.

Contacts

Decision Maker updates and changes

  • New Decision Maker names updated
  • Added new Decision Maker roles
  • Added new Decision Maker Department/Division information
  • Removed Decision Maker address field from display to accommodate Departmental/Division information. Address information is available when exporting Decision Maker information

Buyer contact names updates and changes

  • Removed duplicate Buyer contact names on Agency details Buyer tab. Duplicate Buyer contact records were merged together into a single record, providing a more complete and up to date buyer record
  • Buyer contact tab will function as a directory that will be updated quarterly with new/updated Buyer contact information

Estimated Contact flag

  • When a contact name is not specifically called out by an agency for a project, and a name is provided by Onvia as an alternative, contact name is provided and marked as ‘Est.’
 

Export

General export enhancements

  • Removed merged cells and unnecessary columns or rows
  • Properly formatted fields that contained number and dates information from string text to number/date format so that user can immediately sort on that value
  • Took export parameters and moved it to an additional worksheet for reference. Doing so allows the user to be able to immediately sort/filter
  • Added ‘Source’ field to export that displays Onvia as the value. This will help promote Onvia as the source of information as data is taken from platform to user’s desktop

Agency Center export

  • Added ‘Projects matched’ field to export for when user pivots from Project Center / TCC and exports out list of agencies
  • Bug fix that now displays Agency county information in field

Spending Forecast Center export

  • Added ‘Plan type’ and ‘Plan status’ field to export providing user additional data points to filter/pivot information on
  • Removed ‘Associated vendor name’ field as fill rates did not justify

Term Contract Center export

  • Added option for user to choose how they would like their Vendor information displayed in the export. User can choose to output multiple vendor information as combined information in a single row or list multiple vendor information as individual records. Combining records into a single row will provide a more accurate reflection on size of market when looking at number of opportunities and dollar amounts. ‘Vendor information combined per row’ will be the default selection
  • Added ‘Parent company name’ field to provide user additional data point of information about the vendor
  • Removed ‘Original start date’ and ‘Original end date’ fields as fill rates did not justify

Vendor Center export

  • Similarly to Award export option in Term Contract Center, added Award export option for user to choose how they would like their Vendor information displayed. User can choose to output multiple vendor information as combined information in a single row or list multiple vendor information as individual records.
  • Bug fix that now displays Vendor county information in field
  • Removed ‘Original start date’ and ‘Original end date’ fields as fill rates did not justify
 

General Platform Improvements

Handling of locked records outside of user’s geographic subscription

  • For locked records, in addition to not providing agency name information, project title information is no longer provided. Look and feel of locked records also changed

‘Apply location changes to all searches’ added to ‘Save’

  • Similarly to user being able to apply location changes to all searches using ‘Save as’ button, user is able to now apply using ‘save’ button

Renewal messaging displayed in Guide and platform

  • Starting 45 days before user’s subscription expires to the time it is renewed, user is provided with a subscription expiration notification. On platform, message is displayed

  • Communication of important but generic messages to our clients on a periodic basis added. Examples of these generic messages include informing users about Change in Terms of Use, Outage information, etc.

Onvia 7 Search improvements

Advance Search hierarchy

  • Within Products and Services tab in Advance Search, to help user in the discovery process, when a term is selected, parent of the selected term is displayed. From here, user can also expand selection to not only view the parent, but also siblings and children of that term.

Primary results filter

  • Added ‘Return only primary results’ filter for user’s who are only interested in their goods/service as the primary purchase event (essence of the project).

For example, as a supplier of ‘playground equipment’, I am only interested in opportunities from agencies where they are directly purchasing ‘playground equipment’ and not in opportunities where ‘playground equipment’ is listed out as an ingredient in the building of a new school.

 

General SFC Improvements

‘Most recent projects and plans’ filter

  • Allows user to focus their search only on the agency’s most recent projects and plans, returning in the result set the most recent and relevant results. Will also help remove duplicates by not returning results fielded from out of date plans from an agency.
  • For new searches, this will be the default setting. Can be changed on home page and in filter selections on results page / Advance Search page.

‘Plan start year’ arrange by option

  • Added ‘Plan start year’ arrange by option within Plans & Budgets to allow user see plan related result set in ascending order.

‘Add to Guide’ option in saved search modal

  • Added ‘Add to Guide’ option in saved search modal for user to add search to their SFC Guide as they save their search.
 

General Vendor Center improvements

Award related ‘View Details’ link

  • Within Awards and Active Term Contracts table on Vendor details page, when user selects ‘View Details link, user is now directly taken to the Award details page.

Vendor name on Benchmark page

  • When a hyperlinked vendor name is clicked on the Benchmark page, the current set of filters from the Benchmark page is carried over to vendor details page.

Vendor name on Channel page

  • Vendor name is now hyperlinked on the Channel page and clicked on, the current set of filters from the Channel page is carried over to vendor details page.

Vendor name on tracked Vendors page

  • When a hyperlinked vendor name is clicked on the Tracked Vendor page, the current set of filters from the Tracked Vendor page is carried over to vendor details page.
 

Discontinuation

How to Do Business With

  • ‘How to Do Business With tab’ removed from agency details page as much of that same information can be found within the actual bid documents attach to the published proposals.

Fielding of ‘Line Item Bid Results’

  • As an alternative, platform changes have been made to attach/display the original ‘Supplier Bid tab’ documents to the project when available. This is the document ‘Line item Bid Results’ were fielded from.

‘Products and Pricing’ from Vendor details page

  • Related to no longer fielding of ‘Line item Bid Results’, ‘Products and Pricing’ table removed from Vendor’s detail page in Vendor Center.

Preplanning and Short Lists

  • Preplanning and Short lists removed from platform. Includes records and filtering options
